Three lessons from that table. Platform setup, architecture and release are a fixed cost that every web app pays once, which is why a very small app still costs five figures. Design is the second-largest single line, and halving it by using a proven UI kit is the quickest saving on an internal tool. And integrations are rarely cheap: each one is a week of work when the partner API is good and two or three when it is not.

What drives web app development cost

  • Number of user roles. Each role is its own set of screens, permissions and test cases. A two-role app costs noticeably more than a one-role app with the same features.
  • Integrations. CRMs, accounting systems, payment providers and data feeds each add 36 hours in our planning model, more when the API is undocumented or rate-limited.
  • Design depth. A UI kit with light branding, a bespoke design system, or custom illustration and motion are three different budgets.
  • Real-time features. Live dashboards, chat and collaborative editing need websockets, conflict handling and a different testing approach.
  • AI features. Retrieval, agents or document extraction add $8k to $60k depending on accuracy requirements, and create usage-based running costs.
  • Compliance. GDPR adds consent, export and deletion flows; HIPAA or PCI scope adds audit logging, access controls and documentation, typically 15 to 25 percent.
  • Data migration. Moving records from a legacy system or spreadsheets is often underestimated; cleaning the data takes longer than writing the import.

Adding engineers shortens the calendar less than most founders expect. A second engineer on an MVP roughly halves the build phase; a fourth adds coordination and rarely saves more than a couple of weeks. The faster lever is scope: launching one workflow to real users and adding the second role afterwards.

The hours are the same wherever the work is done. The rate is not. How to cut web app development cost without cutting quality

  1. Pay for discovery first. A $3k to $8k sprint produces a prototype, an architecture and a fixed estimate, and it removes the padding agencies add to cover unknowns.
  2. Launch with one role and one workflow. Add the second role when the first one has paying users.
  3. Use a UI kit for internal tools and save custom design for the screens customers see.
  4. Buy commodity features. Authentication, billing, email, search and analytics are solved problems with good hosted services.
  5. Choose one language across the stack. A Next.js front end with a TypeScript or Python API lets a small team work anywhere in the codebase.
  6. Automate testing from the first sprint. Fixing a bug found in production costs many times more than one found by a test.
  7. Switch to a monthly team after launch so priorities can change every sprint instead of through change requests on a fixed contract.

What the budget looks like after launch

Plan for 15 to 20 percent of the build cost each year for maintenance, or a retainer of $1.5k to $8k per month depending on the size of the app. Hosting for an MVP on Vercel, AWS or a similar platform is usually tens to a few hundred dollars a month until traffic grows.
