Free templates for software projects: RFP, SOW, PRD and NDA

The four documents every software project needs before the first line of code, written from the ones we sign and use with clients. Read each one in full, then download it.

Why these four

How we use these documents.

Every engagement at Innovation Insight passes through the same four documents, in the same order. A mutual NDA is signed before any technical discussion, as our security page describes. The client's request for proposal, or the brief that stands in for it, tells us what to estimate. A product requirements document, written with the client during discovery if one does not exist, defines the first release precisely enough to price. The statement of work then turns the chosen proposal into deliverables, acceptance criteria, milestones and payments.

The templates here are the structures we use ourselves, with our project-specific wording removed and guidance added for each section. They are deliberately short. A document that is too long to keep current is ignored, and an ignored document is where scope disputes start. If you fill these in and send them to us, or to any vendor, the proposals you get back will be comparable and the contract will be signed faster.

Prices for the work itself are on our pricing page, and the app development cost calculator will give you a budget band for the RFP in a few minutes. Which contract type to choose is covered on the engagement models page.

Already have a filled-in template?

Send it to us and get a written estimate within one business day.

A senior engineer reads it, lists the assumptions we would have to make, and replies with a range per milestone. No sales call required.

FAQ

Template questions, answered.

Are these templates really free?

Yes. Every template is shown in full on its page and the Markdown and Word files download with or without the form. Use them, change them and share them; no attribution needed.

Which formats can I download?

Markdown and Word (.docx). Markdown opens in Google Docs, Notion, GitHub and every AI coding tool and keeps the headings intact when pasted; the Word file suits procurement and legal teams.

In what order should I use them?

NDA first, before any detailed conversation. Then the RFP to get comparable proposals, the PRD to define what the first release must do, and the statement of work to turn the chosen proposal into commitments.

Are the NDA and SOW legally binding as written?

They are general templates written from our own contracts, not legal advice. Governing law, liability and some clauses differ by country, so have a lawyer review them for your jurisdiction before signing.
