n8n vs Make vs Zapier vs Custom Code: Which Automation Option Fits in 2026

n8n, Make and Zapier compared on pricing units, self-hosting, AI steps and limits, plus when a custom automation service beats all three.

Short answer

Zapier is the fastest way for non-engineers to connect popular SaaS tools but bills per task, so it gets expensive at volume. Make is cheaper per step and better at branching, billed in credits. n8n bills per workflow run, not per step, and can be self-hosted, which suits sensitive data and high volume. Move to custom code when a workflow needs tests, complex logic, strict accuracy or more than a few hundred thousand steps a month.

Why the billing unit matters more than the price

Take one workflow with a trigger and nine action steps (look up the customer, call an AI model, update the CRM, post to Slack and so on) running 10,000 times a month. On Zapier that is about 90,000 tasks, because every action that runs counts. On Make it is roughly 90,000 to 100,000 credits, one per module operation. On n8n it is 10,000 executions, which fits the Pro cloud plan or a small self-hosted server. The same automation can therefore cost a few hundred dollars a month on one platform and tens of euros on another. Price your real workflows before you choose, and recheck after the vendors change their units; Make recently moved its billing from operations to credits.

AI steps

All three now offer AI steps and agent features, so the question is less whether a tool can call a model and more who pays for the tokens and where the data goes. Bringing your own API key means you pay the model provider directly at list price and can choose the model; built-in AI credits are simpler but harder to forecast. For anything that reads customer documents or health and financial data, check which model provider the step uses, whether it signs a data processing agreement, and whether you can keep the data in your region. Self-hosted n8n with your own model account is the cleanest answer to those questions. Our AI agent cost calculator estimates the model bill by volume.

The n8n licence, briefly

n8n's Community Edition is source-available under the Sustainable Use License, which allows use for your own internal business purposes or for non-commercial and personal use; enterprise-marked files fall under a separate n8n licence. Running it to automate your own company is fine. Embedding it in a product you sell to customers, or offering it as a hosted service, needs a commercial agreement with n8n. Read the licence before building a product on it.

When to move to custom code

  • Volume: hundreds of thousands of steps a month, where per-task pricing exceeds the cost of a small service and a queue.
  • Logic: deep branching, loops over large datasets, transactions or anything you would want unit tests for.
  • Accuracy: money, compliance or medical data, where every run needs an audit trail, retries with idempotency and alerts.
  • Latency: user-facing actions that must finish in a second or two.
  • Ownership: the workflow has become a core part of your product rather than back-office glue.

A common, sensible path is to prototype in Zapier or Make, prove the process saves time, then move the high-volume or high-risk workflows to n8n or a custom service and leave the simple ones where they are. On TamTracker, the client's daily sync from nine advertising, CRM, email and analytics APIs runs as a custom event-driven pipeline on SQS and ECS Fargate with a dead-letter queue and retries, because volume and partner rate limits made a workflow tool the wrong fit.

We are tool-agnostic and often mix them. An automation audit ($3k to $8k) maps your processes and ranks them by value; a pilot of one to three workflows in production costs $8k to $20k. See AI automation services and our AI automation cost guide.

FAQ

Related questions.

Is n8n cheaper than Zapier?

Usually, for multi-step workflows at volume, because n8n bills per workflow execution while Zapier bills per action step. For a few simple two-step zaps, Zapier's lower tiers can be cheaper and faster to set up.

Can I self-host Zapier or Make?

No. Both are cloud-only. n8n can be self-hosted under its Sustainable Use License for internal business use.

Can I build a product on n8n?

Using n8n to run your own company's workflows is allowed under the Sustainable Use License. Embedding it in a product you sell or hosting it for customers needs a commercial agreement with n8n.

When should automation become custom code?

When volume makes per-step pricing expensive, when the workflow needs tests and audit trails, or when it becomes part of your product rather than back-office glue.
